Privacy Policy
How ESEA collects, uses, stores and protects personal information when you use this website or work with us.
Last updated: 29 October 2026
This policy explains how Environmental Services & Education Australia Pty Ltd (ABN 93 673 841 257), trading as ESEA, collects, uses, stores and discloses personal information. It covers this website, enquiries you send us, and the information we handle when we provide our environmental consultancy services. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What personal information we collect
We only collect what we need to respond to you and deliver our work. Depending on how you deal with us, this may include:
- your name, job title, company or organisation, email address, phone number, website and business address
- the details you give us about a project, site or enquiry, including the type of service you are interested in, project location, timeline and description
- documents and images you upload through our forms or send to us, such as plans, reports, maps and site photos
- records of our communications with you, including emails, phone calls and meeting notes
- billing and account details needed to issue proposals and invoices
- technical information collected when you visit the website, such as your IP address, browser type and the pages you view, which our hosting provider records in standard server logs for security and performance
We do not ask for sensitive information, such as health information, through this website. Please do not include sensitive information about yourself or anyone else in a form or in files you upload. The ecological, survey and site data we collect during a project is generally about land, vegetation and fauna rather than about people.
How we collect it
We collect personal information directly from you when you complete a form on this website, request a proposal, email or call us, meet with us, or engage us for a project. We may also receive your details from a client, project manager or consultant team member who is working with you on a project, or from publicly available sources such as company registers and planning portals.
Why we use it
We use personal information to:
- respond to your enquiry and prepare an itemised proposal
- plan and deliver the services you engage us for, including site access and fieldwork coordination
- manage our client relationships, invoicing and records
- meet our legal, regulatory, insurance and work health and safety obligations
- keep this website secure and working properly
We will only send you marketing emails if you have agreed to receive them or if it relates to services you have already engaged us for, and every marketing email will include a way to unsubscribe. We do not sell or rent personal information.
Who we share it with
We share personal information only where it is needed for the purposes above. This includes:
- Service providers who help us run our business, such as our website host, our customer relationship and quoting system (Scoro), and our email, file storage and IT providers
- Project parties such as subconsultants, specialists and other members of a project team, where they need the information to deliver the work
- Consent and determining authorities, such as councils and NSW Government agencies, where information forms part of a report or application we prepare for your project
- Professional advisers such as our accountants, lawyers and insurers
- Regulators or law enforcement where we are required or authorised by law
Information stored or processed overseas
Some of our service providers store or process data outside Australia. Our quoting and CRM system, Scoro, is based in the European Union, website fonts are delivered from Google servers, and the map on our contact page is provided by Google Maps, which means your IP address is shared with Google when those pages load. Information may therefore be held in the European Union, the United States or other countries where our providers operate. We take reasonable steps to make sure these providers handle personal information consistently with the Australian Privacy Principles.
Cookies and website data
This website uses only the cookies needed for it to function. We do not currently use analytics, advertising or tracking cookies. If that changes, we will update this policy before those tools are switched on. You can block or delete cookies in your browser settings.
Automated decisions
We do not use personal information to make decisions about you by automated means alone. Every enquiry and proposal is reviewed by a member of our team.
How we keep it secure and how long we keep it
We store personal information in secure, access-controlled systems and limit access to staff and providers who need it. Website traffic is encrypted. We keep project records for as long as we need them to deliver our services and meet our professional, insurance and legal record-keeping obligations, and then securely delete or de-identify them.
Accessing or correcting your information
You can ask for access to the personal information we hold about you, or ask us to correct it. We will respond within a reasonable time, usually within 30 days. If we refuse a request, we will explain why in writing, unless it would be unreasonable to do so.
Making a complaint
If you have a concern about how we have handled your personal information, please contact us first using the details below so we can try to resolve it. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
